Privacy Policy
Effective date: October 17, 2026
This policy explains what personal information Converges collects through converges.ca, why we collect it, who else can see it, and what you can ask us to do about it. It is written to be read, not to be skimmed past.
Who we are
Converges Inc. is an IT services company based in Toronto, Ontario, providing managed IT support, cybersecurity and asset management to businesses in Canada and the United States.
This policy covers the website at www.converges.ca and any information you send us through it. It does not cover systems we manage on your behalf under a service agreement. Those are governed by that agreement.
We are responsible for the personal information described here, and we are subject to the Personal Information Protection and Electronic Documents Act (PIPEDA), Canada's federal private sector privacy law.
Information we collect
We collect information in three ways.
When you contact us
Our contact form asks for your name, email address, and a message. You may also give us a phone number and company name. We only ask for what we need to reply to you.
When you submit a support ticket
Our support form collects your name, email address, phone number, company name, a description of the problem, and any file you choose to attach. Problem descriptions and attachments sometimes contain more than intended, such as a screenshot showing a file name or an email address. Please send only what is needed to explain the issue.
Automatically, when you visit the site
Our website platform records your IP address, browser type and version, the pages you visit, the time and date of your visit, and how long you spend on each page. This happens on almost every website and we use it to understand which pages are useful.
We do not collect your location. We do not ask for your postal address. We do not take payment through this website, so we never see card details.
How we use your information
We use what you send us to:
- Reply to your enquiry
- Provide the support you have asked for, and keep a record of what was done
- Prepare a quote or proposal if you have asked for one
- Keep in touch about work in progress
- Meet our legal and tax obligations
We use the automatic website information to see which pages people read and to fix problems with the site.
We do not sell your information. We do not rent, trade or share it with anyone for their own marketing. We do not add you to a mailing list because you contacted us, and we do not send newsletters or promotional email.
Cookies and tracking
Cookies are small files a website stores on your device. Our site is built on HubSpot, and HubSpot places cookies when you visit.
They do three jobs:
- Keep the site working as you move between pages
- Remember preferences such as whether you have dismissed a banner
- Count visits and record which pages are viewed, so we can see what is useful
If you later submit a form, HubSpot can connect your earlier visits to the details you give us.
You can refuse cookies in your browser settings, or delete the ones already stored. Every major browser allows this. Parts of the site may behave oddly if you block them, but you can still read every page and still contact us by email.
We do not run advertising cookies and we do not use the site to retarget you with ads elsewhere.
Who else can see your information
HubSpot. Our website, our forms and our customer records all run on HubSpot, a platform owned by HubSpot, Inc. Anything you send through this site is stored in our HubSpot account. HubSpot processes it on our behalf under their own terms and is not permitted to use it for their own purposes.
HubSpot stores data on servers that may be located in the United States or the European Union. This means your information may be held outside Canada, where different privacy laws apply, and may in some circumstances be accessible to courts or authorities in those countries. By sending us information through this website you consent to that storage.
Other providers. We may use other suppliers to run the business, such as email and accounting services. Where they handle personal information they do so only to provide that service to us.
Legal requirements. We may disclose information if the law requires it, if we receive a valid order from a court or public authority, or where it is necessary to protect our rights, investigate misuse of our services, or protect someone's safety.
That is the complete list. Nobody else sees it.
How long we keep it
- Enquiries that do not become work. Two years from your last contact with us.
- Client records and support history. For the length of the engagement, then seven years, to meet tax and record keeping obligations.
- Files attached to support tickets. Deleted once the ticket is closed and no longer needed.
- Website analytics. As long as HubSpot retains it under their own policy.
You can ask us to delete your information sooner. We will do so unless we are required to keep it by law.
Your rights
Under PIPEDA you can:
- Ask what we hold about you. Email us and we will tell you what information we have and what we have done with it.
- Have it corrected. If something is wrong, tell us and we will fix it.
- Ask us to delete it. We will, unless the law requires us to keep it.
- Withdraw your consent. You can tell us to stop using your information at any time, though it may mean we can no longer provide a service to you.
- Complain. If you are not satisfied with how we have handled your information, you can complain to the Office of the Privacy Commissioner of Canada.
We will respond to any of these within 30 days. There is no charge.
We may ask you to confirm who you are before we release information, which protects you as much as us.
Security
Access to our systems is protected by multi factor authentication. Access to your information is limited to people who need it to do the work. Our platform encrypts data in transit and at rest.
We will tell you promptly if your personal information is involved in a breach that creates a real risk of significant harm, and we will report it as the law requires.
We will not pretend to more than that. No system is completely secure, and anyone who tells you otherwise is selling something. What we can promise is that we take it seriously, we keep our own house in order, and we will be straight with you if something goes wrong.
Children
This website is for businesses. It is not directed at children and we do not knowingly collect information from anyone under 18.
If you believe a child has sent us personal information, contact us and we will delete it.
Changes to this policy
We may update this policy as the business changes. When we do, we will post the new version here and change the date at the top.
If a change materially affects how we handle information we already hold about you, we will tell you directly rather than relying on you noticing.
